2. Other video conferencing options

Add your conferencing details as a custom locationYou can add your conferencing details—like a personal meeting link, meeting ID, or room—to your event type as a custom location. Before adding your details, make sure your conferencing platform supports a permanent URL or dial-in number that you can use for all your meetings (most platforms refer to this as a personal link or room). That way, the conferencing details in your event type will not expire.

  1. Select your event type. 
  2. Expand What event is this?
  3. Under Location, select Custom.
  4. Paste your personal conferencing link or. You can choose to display your link as the invitee's book or after they've booked with you. Select Update.
  5. Select Save & Close.

Your link will automatically appear in the calendar invite every time a meeting is scheduled.

Generate your conferencing details after your invitee books

If your platform doesn't have personal conferencing options, you'll need to generate a new conferencing session for each scheduled event. To set expectations with your invitee, you can add a note as a custom location.

  1. Select your event type. 
  2. Expand What event is this?
  3. Under Location, select Custom.
  4. Enter something like, "I'll follow up with dial-in or video conferencing details." Select Update.
  5. Select Save & Close.
  6. Once an invitee books a time, generate a new session from your conferencing platform, then update the calendar event with details.
  7. If your conferencing platform is on Zapier, you can create a zap to automatically generate a new conferencing session with each booking.
